Privacy policy

At Eventmento we take your privacy seriously. This policy explains what personal data we process when you use the WebApp during an event, for what purpose, for how long, and what rights you have over it.

Data controller

The controller of your data is the organizer of the event who has contracted Eventmento, with the technical support of the Eventmento platform. For any matter related to your data you can write to:

Data we collect

Depending on how you take part in the event, we may process the following categories of data:

  • Name and table or seat identification, linked to the personal QR you scan to get in.
  • Photos and videos you upload to the event's collaborative album.
  • Profile data you choose to fill in (nickname, interests or other social ice-breaker information).
  • Contact details you choose to share with other attendees, such as your Instagram handle or your WhatsApp number.
  • Minimal technical data strictly required for the WebApp to work (for example, session identifiers).

Purpose of processing

We process your data only to provide the event service:

  • Let you access the WebApp identified by your name, with no downloads or sign-ups.
  • Build the live collaborative album and the event's big screen.
  • Enable the social ice-breaker so attendees can connect with each other if they wish.
  • Deliver the master download of the event's photos and videos to the organizer.

Legal basis

The legal basis for processing is your consent, given when you access and take part in the event, together with the organizer's legitimate interest in documenting and energizing their own event. You may withdraw your consent at any time without affecting the lawfulness of prior processing.

Retention period

Retention: 14 days after the event.

We keep the event's data and content for a maximum of 14 days after the event ends. Once that period has passed, photos, videos and associated data are automatically deleted from the platform, except for the master download the organizer may have obtained under their own responsibility.

Data sharing

We do not sell your data. The content you upload is visible to attendees of the same event within the WebApp. Contact details (Instagram, WhatsApp) are only shown to other attendees if you choose to share them. We may rely on technology providers acting as data processors with the guarantees required by law.

Biometric data (face search)

Off unless the organizer enables it for their event.

Some events offer the "Find your photos" feature, which uses facial recognition to show you only the photos you appear in. This is a special category of data, so it is off by default and is only processed under these conditions:

  • When it applies: only at events where the organizer enables the feature. If they don't, no face is analysed and no biometric data about anyone is stored.
  • What is analysed while it is on: the server detects the faces appearing in the album's photos and turns them into numeric vectors so they can be matched against whoever takes a selfie. That index is internal to the event, carries no names and is not used to identify anyone outside it.
  • Legal basis: to use the search, your explicit consent (Art. 9.2.a GDPR), given before the selfie and withdrawable at any time. Informing the people who appear in the photos that the feature is in use is the responsibility of the event organizer, who is the data controller.
  • Where it is processed: faces are turned into mathematical representations (vectors) on the platform's own server. We do not use third-party services for this.
  • Not shared: no biometric data is ever sold, transferred or published; it is used only to match a selfie against the photos of that same event.
  • Retention: the face index and your selfie are deleted along with the rest of the event data (max. 14 days), or sooner on request.

You can delete your face data instantly from within the WebApp using the "Forget my face data" button: your selfie is removed and "My photos" is turned off. If you also want the faces detected in the album's photos removed, write to us and we'll do it.

Your rights

You can exercise your data protection rights at any time:

  • Access: know which of your data we process.
  • Rectification: correct inaccurate or incomplete data.
  • Erasure: ask us to delete your data.
  • Objection and restriction: object to or restrict the processing of your data.
  • Portability: receive your data in a structured format.
  • Withdrawal of consent: revoke your consent at any time.

To exercise these rights, write to us stating the event you took part in. You also have the right to lodge a complaint with the competent supervisory authority.

By accessing the event's WebApp and uploading content or completing your profile, you confirm that you have read this policy and consent to the processing of your data under the terms described here. If you do not agree, please do not upload content or share contact details.
